2014 IE Cupcake Fair – Bakers Information

Are you a baker interested in competing in the Cupcake Fair, hosting a booth, looking for more promotion opportunities to take advantage of all the traffic and visitors then we have the info you need below.

 

~~ NEED-TO-KNOW INFO FOR BAKERS ~~

Event venue: Riverside Convention Center 3637 5th St, Riverside, CA 92501

Event time: May 4, 2014, 11-4 p.m..

General admission entry starts at 12 p.m. and V.I.P. guests and media will be allowed in at 11 a.m.

Bakers can participate in the following ways:

  1. Enter the competition and host a booth to pass out free cupcake tastings, as well as sell items.  This is open to Amateurs and Professionals.  If you do not have a business permit, bakers are required to either have a Cottage Food Operators permit for Riverside County or fill out a Kitchen Agreement Form.
  2. Only enter the competition and not host a booth (open to Amateurs and Professionals)
  3. Not enter the competition and Only host a booth to pass out free cupcake tastings, as well as sell items (open to Amateurs and Professionals)
  4. Only sell food items.  If you are interested in selling food items please keep in mind that the booths passing out free tastings are usually more popular with event guests.

 

~~ BOOTH SPACE SIGN UP ~~

Sign up EARLY for a table now through Friday, March 7 and you can lock down last year’s vendor table price – $120.  This fee also includes your competition fee.  Your payment must be received by March 16, 2014.

After March 7, tables will be $140.  Registration will be closed April 18.  Payment must be received by April 25, 2014.

Separate fee for Competition: $50 (covers one entry in each category: Best Overall & Most Unique Ingredient.  Additional entries requires another $50)

The venue will provide a white linen for your 6′ table.

You are encouraged to decorate your booth this year for a booth decoration contest judged by event guests
Table hosts are encouraged to bring company signage to hang at the front of their table and small signs with the names of the cupcake tastings. You may also have promotional flyers.  Remember, Mother’s Day is coming up and this is a great time to promote your bakery!

 

 

~~ DAY OF EVENT DETAILS ~~

If you are hosting a table please prepare 400 mini cupcakes to pass out to event guests. If you cannot provide mini-cupcakes you may cut a regular sized cupcake into halves and pass these out to event guests.
Event guests will each be provided six tasting tickets. Guests will provide a ticket to table hosts in exchange for one tasting.  In order to not run out early, provide one type of cupcake per ticket per guest.  Try not to give one guest two of the same cupcakes.

We want to make sure there’s enough for everyone.
Table hosts sign-in starts at 9 a.m. and tables must all be ready by 10:00 a.m.
Table hosts and vendors will have a separate entrance from event guests. The entrance information will be confirmed via email weeks before the event.

~~ COMPETITION ~~

There will be a separate judging for professional bakers and for amateur bakers. Bakers must be registered by Registration will be closed April 18. See Registration Form and Contest Rules here.

If you are an amateur baker and hosting a table where you’ll be passing out tastings, you will also need to have the commercial kitchen you are using fill out this Kitchen Agreement Letter and send with your Baker Registration form.

Cupcake categories: Best Overall and Most Unique Ingredient (you may enter both and multiple flavors)

Cupcake Judging: There will be two judging panels: (1) Panel of judges (judges will be revealed at the end of February) and (2) Event guests

Judging submission: Provide a mini-cupcake or full cupcake for judging. On the day of the event all entrants will be directed to drop-off their cupcake for judging. Entrants must sign-in and drop off their cupcake at 9:30 a.m. See Contest Rules for details.
